The problem
Every month, volunteers spent days gathering information from multiple sources (liturgical calendars, readings, event lists, announcements) before manually formatting, copy-pasting, and assembling the printed church programme. The process was error-prone and so time-consuming that the booklet routinely reached members after the month had already started, making it too late to be useful.
The approach
Modernised the entire system end-to-end with an AI automation workflow. The pipeline pulls data from structured sources, uses Claude to assemble and format the content, generates a polished programme document automatically, and distributes it by email and WhatsApp in place of postal mail. On the 1st of each month, the workflow runs for the following month and sends a draft to designated reviewers for sign-off before the final version goes out.
The outcome
Programme is generated automatically in under 10 minutes on the 1st of each month. Reviewers receive a draft immediately; the final version reaches every member by the 25th of the preceding month, before the month begins. Distribution modernised from post to email and WhatsApp.
